Wanderlust Terms of Business
Before applying to join Wanderlust Camping Club, please take the time to read our full Terms and Conditions for Certified Sites. This document covers everything from the application and site visit process through to membership obligations, data protection, fees, and certification requirements — so you know exactly what to expect as a certified site owner.
When you are succssfully approved as a ceritifed site, you will be required to sign the below Terms of Business.

Terms of Business for Certified Sites
Welcome to Wanderlust Camping Club. We're a small, independent club built around one simple idea — that the best places to stay are the ones most people miss. Our certified sites are hidden gems, personally run, and chosen because they offer something genuinely special. By joining us, you're part of a community of hosts who care about the experience they give their guests, and a club that’s working hard to connect those guests with you.
These Terms set out how we work together. They’re here to protect both of us and to ensure every site in the Club operates to the same standard — which is ultimately what makes Wanderlust valuable to everyone in it. Please read them carefully, and don’t hesitate to get in touch if anything isn’t clear.
1. Introduction
Please read these Terms and Conditions carefully before submitting your application.
If you have already been certified by the Club, the 'Application' section may not apply.
Once submitted, a copy of your completed Terms and provided information will be sent to your email for your records.
By submitting your application and accompanying information, you confirm that you have read, understood, and agree to these Terms and Conditions.
2. Interpretation
In these Terms, unless the context otherwise requires or admits the following expressions shall have the following meanings attached to them:
Club: Wanderlust Camping Club Ltd
Applicant / Site Owner: The campsite proprietor or manager
Contract: These Terms and Conditions
Certificate: A contractual permission granted by the Club to allow the Site Owner to operate as a certified site. The Certificate does not create a tenancy, lease, partnership, joint venture, employment relationship, or agency relationship between the parties
Member: A person who is or becomes a member of the Club.
Site: The land and premises identified in the application and approved by the Club for operation under the Certificate.
Certified Site: A Site for which the Club has issued a current Certificate.
Certification Period: The period beginning on the date the Certificate is issued and ending on the following 28 February, and each subsequent annual period from 1 March to 28 February, unless ended earlier in accordance with these Terms.
Working Day: Any day other than a Saturday, Sunday or public holiday in England.
Fees: All fees payable under these Terms, including (without limitation) Application Fee, Certificate Fee, Membership Fees, and related charges
Club Materials: all materials, templates, guides, Canva templates, PDF templates, digital welcome guides, logos, icons, badges, membership wording, copy, layouts, designs, artwork, brand assets, brand guidelines, photographs, documents, resources and other materials provided by the Club to the Site Owner from time to time
Wanderlust Branding: the Club’s name, trading style, logos, submarks, icons, badges, slogans, membership wording, certification wording and any other branding associated with Wanderlust Camping Club
3. Application and Initial Assessment
Application and Desktop Study
In order to process applications to join the Club as an authorised camping site, an Application Fee will be payable by the Applicant. The fee covers:
- Liaising with the applicant
- Conducting a desktop study
- Providing initial feedback
Site Visit
A site visit is the next part of the application process for all Applicants.
A separate site visit fee shall be payable in advance of the site visit taking place which will include mileage,
subsistence, and accommodation if required.
The fee includes liaison with neighbours, Parish Council, Local Authority, Environmental Health.
Where further actions are required, including (without limitation) discussions or meetings with local authorities or agencies in connection with Water Protection Zones, Nutrient Protection Zones, SSSI, Public Highways, protected species, or Nitrate Vulnerable Zones, any meetings attended at the request of the Applicant shall be chargeable.
Estimated costs can be provided prior to commitment, and payment will be required in advance.
Non-Refundable Fees
All Fees are non-refundable because they relate to administrative, assessment, regulatory, certification and operational work undertaken by the Club.
Fees will only be refundable where the Club fails to carry out the services to which the Fee relates and no work has yet been undertaken.
For the avoidance of doubt, no refund shall be issued where the Applicant or Site Owner withdraws, fails to provide required information, is declined, ceases operating, agrees an early surrender or otherwise discontinues the application or certification process.
4. Accuracy of Information
All information provided by the Applicant shall be deemed to be correct and complete.
The Club cannot be responsible for any consequences arising from inaccurate, incomplete, or misleading information, or from the omission of material facts.
It is the responsibility of the Applicant to disclose all relevant information during the application process, including (without limitation) any historical or current complaints, enforcement action, or objections from the Local Authority, Parish Council, neighbouring landowners, or any other relevant body.
5. Process and Acceptance
Upon receipt of all required information and full payment of applicable Fees, the Club will process the application at its earliest opportunity.
The Club shall not be held responsible for any delays arising for any reason.
Acceptance into the Club is not guaranteed and remains at the sole discretion of the Club.
6. Site Requirements
Site identification and assignment
The land covered by the Certificate must be clearly identified on a plan approved by the Club. No activity relying on the Certificate may take place outside the approved area.
The Certificate may not be assigned or transferred without the Club’s prior written consent.
Health, safety and compliance
The Site Owner is solely responsible for the safe, lawful and compliant operation of the Site, including highway safety, fire safety, emergency arrangements, electrical and gas safety, sanitation, waste disposal, insurance and visitor records.
The Site Owner must comply with all applicable legal requirements, recognised safety standards, risk assessments and any site-specific requirements identified by a relevant authority, suitably qualified professional or the Club.
The Site Owner must retain appropriate records, certificates and evidence of compliance and provide them to the Club on reasonable request.
Failure to meet these requirements may result in suspension or termination of the Certificate.
Insurance
The Site Owner must maintain suitable public-liability insurance of at least £2 million and any other insurance appropriate to the activities carried out at the Site.
Units and spacing
The Certificate permits a maximum of five hard accommodation units unless otherwise agreed in writing by the Club. Any additional tents, yurts, bell tents or similar accommodation must be agreed with the Club.
All units must be positioned in accordance with applicable legal requirements, recognised safety guidance and the Site’s risk assessments.
7. Promotion and Advertising
The Club places no restriction on the Site Owner’s method of advertising, provided that all advertising is accurate, not misleading, and does not bring the Club into disrepute.
The Site Owner should promote the Club in a positive and accurate manner and encourage guests to engage with Wanderlust Camping Club, including following its social media channels for news, updates and member benefits.
The Wanderlust Camping Club logo should be displayed on the Site Owner’s advertisements, website, booking pages and social media platforms where appropriate, and in accordance with any brand guidelines provided by the Club from time to time.
The Club sign must be clearly displayed at the entrance to the site.
Where the Site does not operate year-round, the Site Owner must clearly display the Site’s operating season and opening and closing dates on its website and on any booking listings. This information must be kept accurate and up to date and may be used by the Club to verify reported booking activity. Any changes to the operating season must be discussed and agreed with the Club in advance.
Site Owners are encouraged to include a hyperlink to the Wanderlust Camping Club website,
www.wanderlustcampingclub.co.uk, on their own website, booking pages and other relevant digital platforms. Where possible, the Wanderlust Camping Club logo should also be displayed alongside this link.
Upon joining the Club, Site Owners are asked to publish a post across their social media channels announcing their membership of Wanderlust Camping Club, tagging or collaborating with the Club’s official account, @wanderlustcampingclubuk.
Site Owners are encouraged to tag or mention Wanderlust Camping Club when sharing content related to their site, including seasonal updates, new facilities, availability and guest experiences. The Club will endeavour to reshare and amplify such content where appropriate.
From time to time, the Club may run joint campaigns or seasonal promotions and may invite Site Owners to participate. Participation is encouraged but not mandatory.
Site Owners are asked to notify the Club of anything that may be of interest to press or media, including, but not limited to, new structures or accommodation, site anniversaries, awards, significant renovations or other newsworthy developments. The Club will seek to use these opportunities to generate coverage that benefits both the individual site and the wider Wanderlust community.
Where a Site Owner is approached directly by press or media in connection with their Wanderlust membership, they are asked to inform the Club at the earliest opportunity so that any coverage can be coordinated and the Club represented accurately.
The Club may provide the Site Owner with Club Materials for use in connection with the promotion and operation of the certified site. These may include branded templates, digital welcome guides, guest communication templates, membership wording, logos, icons, badges, Canva templates, PDF templates, guidance documents and other resources.
The Site Owner is granted a limited, non-exclusive, non-transferable licence to use Wanderlust Branding and Club Materials solely in connection with their certified Wanderlust Camping Club site, and only while the site remains certified by the Club.
The Site Owner may personalise Club Materials for their own certified site, including by adding site-specific information, photographs, arrival details, facilities, local recommendations, booking details and other relevant content.
The Site Owner must not copy, adapt, rebrand, resell, distribute, publish, share, transfer or otherwise use Club Materials, or any substantially similar version of them, outside the Wanderlust Camping Club network without the Club’s prior written consent.
The Site Owner must not remove, obscure or alter Wanderlust Branding, certification wording, template footers or ownership notices from Club Materials unless the Club has expressly agreed this in writing.
The Site Owner must not present Club Materials, or any amended version of them, as their own independent materials or as materials belonging to any other business, club, scheme or organisation.
If the Site Owner supplies photographs, text or other content for inclusion in any Club Materials, the Site Owner confirms that they have the necessary rights and permissions to use and share that content.
All intellectual property rights in Wanderlust Branding and Club Materials remain owned by the Club or its licensors. Nothing in these Terms transfers ownership of Wanderlust Branding or Club Materials to the Site Owner.
Use of Site-Supplied Content
Where the Site Owner supplies photographs, videos, text or other content to the Club for use in connection with promoting the Site ("Site Content"), the Site Owner grants the Club a perpetual, non-exclusive, royalty-free licence to use, reproduce and display that Site Content across the Club's website, social media channels, email communications, and other promotional materials, both during and after the period the Site remains certified.
Where the Site's Certificate ends for any reason, the Club is not obliged to remove previously published Site Content from its website, social media, blog, or past email communications, save that the Club will take reasonable steps to ensure the Site is not presented as a current, bookable, certified member of the Club on any live booking pages, active site directory listings, or current promotional offers.
8. Membership Obligations
Membership Requirement
A Membership Fee is payable for one lead guest per occupied unit, for each stay operated under the Certificate. The Site Owner is responsible for collecting or incorporating the Membership Fee into the booking price and paying it to the Club.
Guests must be Wanderlust Camping Club members for their stay to be operated under the Certificate and fall within the exemption.
Guest-Facing Wording
The following wording, or wording containing the same key information, must appear clearly on the Site Owner’s website and direct-booking pages, accommodation or pitch listings, online travel agency listings where possible, and booking checkout or confirmation pages.
The wording may be adapted to suit the Site Owner’s booking process and Privacy Policy, but it must clearly explain that membership is included, what information will be shared with the Club and why. The Site Owner must link to the Club’s Privacy Policy wherever reasonably possible and ensure its own Privacy Policy explains the sharing of Membership Data with the Club.
Your booking includes Wanderlust Camping Club membership, giving you access to eco-friendly retreats across the UK. We’ll securely share your name, email address and stay date with Wanderlust Camping Club Ltd to create your membership. You’ll receive a welcome email and may also receive membership updates, Club news and related offers. You can unsubscribe at any time. Please see the Wanderlust Camping Club Privacy Policy for details.
Membership Information and Reporting
As a condition of holding a Certificate, the Site Owner must provide the Club with complete and accurate membership information for all bookings and stays operated under the Certificate. This includes the lead traveller’s full name, email address, and start and end date of their stay.
Membership information must be submitted through the Club’s designated platform no later than the end of the calendar month following the stay. This reporting is required to comply with the applicable exemption conditions, maintain the Certificate and enable the Club to administer membership.
The Club may allow a limited administrative grace period in exceptional circumstances. Any grace period does not change the Site Owner’s underlying obligation to report monthly or prevent the Club from taking action where missing information creates a compliance risk.
To support the accuracy of monthly membership reporting, the Club may, from time to time, request simple supporting evidence from the Site. This may include:
- a screenshot of the Site’s booking system calendar showing occupied dates;
- a redacted monthly occupancy or revenue report; or
- a redacted list of booking references or booking activity for the period concerned.
Such requests will be limited to what is necessary to confirm booking activity and will not require access to the Site’s live booking system or any full personal data. The Site Owner agrees to provide the requested evidence within a reasonable timeframe.While the Club will always seek to resolve matters constructively, failure to provide membership information may result in further action under the Suspension of Certificate provisions.
Membership administration and marketing preferences are separate. A guest may unsubscribe from marketing communications without cancelling or invalidating the membership associated with their stay. The Club may continue to send service or administrative communications where necessary to create or administer that membership.
9. Data Protection and Privacy
For the purposes of this Contract, the Club and the Site Owner acknowledge that personal data relating to guests who stay at the Certified Site will be shared by the Site Owner with the Club. Such data shall be limited to the lead traveller’s full name, email address, and start and end dates of stay (the “Membership Data”), unless otherwise required by law or expressly agreed in writing.
Each party acts as an independent Data Controller to the extent that it independently determines the purposes and means of its processing of Membership Data. Membership Data is shared by the Site Owner with the Club for the purposes set out in these Terms and in the Club’s Privacy Policy.
The Site Owner warrants that all Membership Data is collected and shared in compliance with the UK General Data Protection Regulation and the Data Protection Act 2018, including by providing guests with clear and transparent privacy information explaining that their personal data will be shared with the Club for membership administration and related purposes.
The Club shall process Membership Data for the purposes of administering guest membership, complying with applicable exemption and regulatory requirements, communicating with members, and operating the Wanderlust Camping Club in accordance with applicable data-protection law, the Club’s identified lawful basis or bases, and its Privacy Policy.
Membership Data must be submitted through the Club’s designated platform and retained by each party only for as long as necessary to meet applicable legal, regulatory, and operational requirements, in accordance with the Club’s Privacy Policy and the Site Owner’s own data retention policies.
The Site Owner shall implement appropriate technical and organisational measures to safeguard Membership Data, including secure storage, restricted access, and ensuring that Membership Data is not disclosed to unauthorised third parties.
The Site Owner shall notify the Club without undue delay of any suspected or actual personal data breach relating to Membership Data which may affect the Club or the rights and freedoms of data subjects.
The Site Owner shall indemnify and keep indemnified the Club against all losses, claims, liabilities, costs, and penalties arising from the Site Owner’s failure to comply with applicable data protection legislation in connection with Membership Data.
10. Payment Terms
Invoices are payable within 14 days of issue.
Interest may be applied to overdue invoices at 4% per annum above the Bank of England base rate, calculated from the due date until payment is received in full.
11. Suspension of Certificate
The Club values its partnership with each certified site and will aim to avoid disruption wherever possible.
Where the Site Owner’s obligations are not met, including maintaining the site, providing membership information, or settling invoices, the Club reserves the right to suspend the Certificate.
During suspension, the Site Owner must not accept or fulfil any booking that relies on the Certificate, present the Site as currently certified, or use Wanderlust Branding or Club Materials in a way that suggests current certification, unless otherwise agreed in writing by the Club.
Suspension does not relieve the Site Owner of their obligation to pay outstanding fees.
Where reasonably practicable, the Club will seek to resolve matters constructively before suspending the Certificate.
12. Contractual Clauses
Entire Agreement
These terms constitute the entire agreement.
The Site Owner acknowledges that it has not relied on any statement, promise or representation, or assurance made or given on or on behalf of the Club which is not expressly set out in these Terms.
Advice and Liability
The Club’s role is limited to issuing and administering the Certificate.
The Site Owner is solely responsible for the safe operation, maintenance, and management of the site.
To the fullest extent permitted by law, the Club accepts no liability for any loss, damage, or injury arising from the operation or condition of the site.
Nothing in these Terms excludes or limits the Club’s liability for death or personal injury caused by its negligence, or for fraud.
Any guidance or advice provided by the Club is informal, non-binding, and does not replace the Site Owner’s responsibility to obtain professional or regulatory advice where required.
Fees and Payments
The Club reserves the right to review and amend its fee structure from time to time. Any changes to fees will not apply retrospectively and, where practicable, reasonable notice will be given to Site Owners.
The Certificate Fee is payable annually in advance for the Certification Period.
The Certificate Fee is non-refundable due to the administrative and regulatory work undertaken in establishing the Certificate, except where the Club fails to perform its obligations.
If any Fees are not paid by the due date, the Club may suspend and/or terminate the Certificate with immediate effect, without prejudice to its right to recover all outstanding sums.
Certification Period, Renewal and Non-Renewal
Unless either party gives valid notice of non-renewal, the Contract will automatically renew for a further Certification Period on 1 March. Reissue of the Certificate is subject to the renewal conditions below.
A Site Owner who does not wish to renew must give the Club at least three months’ written notice, which must be received no later than 30 November. Notice will take effect on 28 February at the end of the current Certification Period.
The Site Owner has no unilateral right to terminate the Certificate before the end of the current Certification Period. The Site Owner is not required to continue operating or accepting bookings, but all bookings and stays operated under the Certificate before it expires must comply with these Terms and all applicable exemption conditions, including membership registration, reporting and payment obligations.
The Club will send a renewal reminder and notify the Site Owner of any change to the Certificate Fee before the 30 November non-renewal deadline. The Site Owner remains responsible for giving notice by that deadline if it does not wish to renew.
Renewal is conditional upon the Site Owner remaining compliant with these Terms, providing any information and documents reasonably required by the Club, and paying all applicable Fees.
The Site Owner must not operate under or rely upon the Certificate for the renewed Certification Period until the Club has confirmed that the applicable renewal requirements have been satisfied.
The Club may give notice of non-renewal by 30 November. It may also decline to renew after that date where the Site Owner fails to satisfy the renewal conditions, or where information or circumstances arising after that date give the Club reasonable grounds not to renew.
The Club may, at its discretion, agree to an early surrender of the Certificate. Any early surrender must be confirmed in writing by the Club and will not entitle the Site Owner to a refund unless expressly agreed.
Expiry, termination, non-renewal or agreed surrender does not affect any Fees or other sums due for bookings, stays or obligations arising before the Certificate end date.
Termination and Insolvency
The Club may terminate the Certificate immediately where there is a material breach of these Terms or where the Site Owner becomes insolvent, enters liquidation, has an administrator or receiver appointed, or is adjudicated bankrupt.
The Site Owner shall provide to the Club a copy of any notices, demands, or enforcement correspondence from a Local Authority or other regulatory body relating to the site without delay.
Upon expiry, termination, agreed surrender or non-renewal, the Site Owner must immediately stop presenting the Site as certified and cease any new use of Wanderlust Branding or Club Materials. All existing references, materials and signage must be removed within 14 days.
The Site Owner must not continue to use any amended, copied, rebranded or substantially similar version of the Club Materials after certification has ended without the Club’s prior written consent.
Notices
Any notice under these Terms must be given in writing by email or recorded post to the contact details most recently provided by the receiving party.
A notice sent by email will be treated as received on the next Working Day after transmission, provided no delivery-failure notification is received. A notice sent by recorded post will be treated as received two Working Days after posting.
The Site Owner is responsible for keeping its contact details up to date. Telephone calls, text messages and social-media messages will not constitute formal notice of non-renewal.
Notice to the Club must be sent to info@wanderlustcampingclub.co.uk, or any replacement address notified by the Club in writing.
Compliance
The Site Owner must remove any unauthorised buildings, structures or objects that the Club so requests within 28 days of a written request from the Club or its agents.
The Site Owner will have no right of set-off, whether statutory or otherwise.
